How long does it take to set up a show?

A committee can set up a show in an evening. The wizard walks through map, schedule, vendors, sections, classes and policies one step at a time. Schedule import accepts spreadsheets, Word docs, PDFs, paste-text and photos of printed programmes — most schedules come in clean in under five minutes.

Do we have to remove our printed programme?

No. ShowDayGuide is a companion to your printed programme — it doesn't have to replace it, unless you want it to. Many shows keep their printed programme exactly as-is and add a QR code on the cover linking to the digital version. Visitors choose which they prefer; many use both. For shows that decide to go fully digital, you'll also reduce your printed-paper carbon footprint significantly.

Can we set up the show now and pay later?

Yes. Creating a show is free, and basic setup is free — adding your schedule manually, dropping pins on a map, adding vendors and sponsors by hand. The platform fee is a single one-off payment that unlocks everything you need to publish your show to visitors, including AI-powered features (such as importing a schedule from a photo, or auto-filling vendor details from a website). If you want to use an AI feature during setup, you can pay the platform fee at that point; otherwise the fee is paid when you're ready to publish your show — typically a few weeks before show day. No metered billing, no per-action charges.

What happens to our show data if we stop using ShowDayGuide?

Your show data belongs to you. You can export everything — schedule, vendor list, sponsor list, advertiser list, analytics — as CSV at any time. If you choose not to renew, your show pages stay accessible to existing visitors for the rest of the year and then archive cleanly.

Can multiple committee members manage the show?

Yes. Invite as many committee members as you need at no extra charge. Assign roles so the chairperson can do everything, the schedule secretary handles events, the trade-stand coordinator handles vendors, and so on. One person doesn't have to do everything.

Can I clone last year's show for next year?

Yes. One click clones everything — map, schedule, vendors, sections, classes, trophies, policies. Update the dates and your renewed show is ready. Designed specifically so annual shows don't have to start from scratch each year.

What about registered charities?

Shows run by registered charities qualify for a discount on the platform fee. Contact us with your charity registration number and we'll apply the rate to your show.

We already have lists of vendors, sponsors and advertisers — do we have to type them all in?

No — importing your existing lists is one of the things ShowDayGuide does for you. Upload or paste what you've already got (a spreadsheet, or even a photo or PDF of last year's programme) and it reads the names and details in and organises them for you. You can then publish them and send each business an invite to upgrade their own listing — so the relationships you've already built carry straight over, with barely any typing.

Are there long-term contracts?

No. Every plan is per-show, paid annually when you publish your show to visitors — no minimum terms, no automatic renewals. If a year doesn't suit you, simply don't renew.
